Gardeners Southall Health and Safety Policy
This Health and Safety Policy sets out the commitments and procedures of Gardeners Southall in managing the risks associated with gardening, landscaping and grounds maintenance services. Our aim is to protect our employees, clients, visitors, contractors and members of the public from injury and ill health, and to safeguard property and the environment wherever we work.
Our Health and Safety Commitment
Gardeners Southall is committed to providing a safe and healthy working environment and to continually improving our health and safety performance. We comply with all relevant health and safety legislation and recognised industry guidance relating to gardening, landscaping and outdoor services. Management accepts overall responsibility for health and safety, and all workers are required to take reasonable care for their own safety and that of others who may be affected by their work.
Scope of the Policy
This policy applies to all activities carried out by Gardeners Southall, including domestic and commercial gardening, landscaping projects, garden clearance, hedge and tree work within our service area, routine maintenance, waste handling and the use of machinery, tools, vehicles and substances on any site where we operate.
Roles and Responsibilities
Management is responsible for providing safe systems of work, adequate resources, appropriate safety equipment, and supervision to ensure this policy is implemented effectively. Supervisors must plan and monitor activities, communicate safety requirements, and ensure that risk controls are followed. Employees and subcontractors must cooperate with safety procedures, use equipment correctly, follow training instructions, report hazards, incidents and near misses, and refrain from any unsafe practices.
Risk Assessment and Safe Working Practices
Before commencing work, suitable and sufficient risk assessments are carried out to identify hazards associated with each gardening or landscaping task. These assessments consider, as appropriate, the use of machinery, manual handling, work at height, use of chemicals, noise, vibration, exposure to dust, soil and plant material, site access, traffic and interaction with the public. Control measures are then implemented, including safe work methods, supervision, exclusion zones, signage and use of personal protective equipment. Risk assessments are reviewed regularly and whenever there are significant changes to work practices, equipment or locations.
Training, Instruction and Supervision
Gardeners Southall ensures that all personnel are competent to perform their duties safely. Workers receive induction training covering company health and safety rules, emergency procedures and site-specific risks. Task-specific training is provided for the safe operation of machinery and tools, safe use and storage of substances, manual handling techniques, and working in gardens and outdoor environments. Where specialist equipment is used, only trained and authorised persons may operate it. Ongoing refresher training is provided as needed, and supervision is maintained to confirm that safe practices are followed.
Use of Machinery, Tools and Equipment
All machinery, tools and equipment used by Gardeners Southall are selected, maintained and inspected to ensure they are safe and suitable for the intended task. Pre-use checks are carried out and any defects are reported immediately and taken out of use until repaired or replaced. Safety guards and devices must never be removed or overridden. Fuel is stored and handled safely, and powered equipment is only used in accordance with manufacturer instructions and company procedures.
Personal Protective Equipment
Appropriate personal protective equipment is provided where risks cannot be adequately controlled by other means. Depending on the task, this may include safety footwear, gloves, eye protection, hearing protection, high-visibility clothing, respiratory protection and weather-appropriate garments. Workers are required to wear the specified protective equipment, to keep it in good condition and to report any loss or damage so that it can be replaced promptly.
Chemicals, Substances and Environmental Protection
Where fertilisers, pesticides, herbicides or other substances are used, Gardeners Southall follows product safety data and legal requirements for storage, transport, application and disposal. Only suitably trained personnel may apply such substances. Care is taken to avoid contamination of soil, plants, wildlife, watercourses and neighbouring properties. Waste generated from gardening work, including green waste and packaging, is managed responsibly and disposed of through appropriate channels.
Manual Handling and Physical Wellbeing
Gardening and landscaping work can involve lifting, carrying and repetitive movements. Gardeners Southall aims to minimise manual handling risks through planning, use of mechanical aids where practicable, and limiting load weights. Workers receive guidance on safe lifting techniques, team lifting and rest breaks. We encourage staff to report discomfort, strain or early signs of injury so that work methods can be adjusted and medical attention obtained if necessary.
Working at Height and Site Safety
When tasks involve work at height, such as hedge trimming or tree-related activities, appropriate access equipment and fall prevention measures are used. Ladders and platforms are inspected, positioned on stable ground and used within their safe limits. Work areas are kept as tidy as possible, with tools and materials stored safely to prevent slips, trips and falls. Where work is carried out near roads, paths or shared spaces, measures are taken to protect the public, including barriers, signage and controlled access.
Incident Reporting and Emergency Procedures
All accidents, injuries, near misses and hazardous conditions must be reported promptly. Gardeners Southall investigates incidents to identify underlying causes and to put in place corrective actions that reduce the likelihood of recurrence. First aid equipment is made available during work activities, and workers are informed of emergency procedures for each site, including how to summon assistance and how to respond to fire, severe weather or other emergencies.
Monitoring, Review and Continuous Improvement
Gardeners Southall regularly monitors health and safety performance through inspections, incident reviews and staff feedback. This policy and associated procedures are reviewed periodically and whenever there are significant changes to legislation, our operations or identified risks. Improvements are implemented to enhance safety, promote a positive health and safety culture and support the wellbeing of everyone involved in or affected by our work.
This Health and Safety Policy is communicated to all employees and is available to clients and other interested parties on request. Everyone working with Gardeners Southall is expected to support and uphold these standards at all times.
